Ship safety management made simple

Successful sea voyages require ship and crew safety, while also ensuring the highest quality services and care for the marine environment. Compliance with stringent maritime regulations developed by the ILO and IMO means it is vital to have the right documents, policies and procedures in place and to hand for all vessels and crew. Getting it wrong can lead to fines, detained vessels, lost revenues – and higher levels of risk to crew, ships, the planned voyage and the environment at large.

The OneOcean QHSE digital system makes it simple to tackle this securely, and to ensure those onboard and onshore are up to date and consistent with fleet policies and procedures. And it provides a ready-to-go framework for Quality, Health, Safety and Environment (QHSE) documents so that all vessels, policies and practices are kept in line with current ISM code.

The ship safety management software includes two options: 

  • The Cloud Fleet Manager version, which is a turnkey solution that provides built-in templates for standard procedures such as inspections and incidents; 
  • Or you can choose the Docmap package which offers modules and features that can be customised to fit with your unique operational processes. 

Onshore and onboard synchronisation

Because of the integrated Cloud Fleet Manager platform, ship managers can see that crews onboard vessels have the right documentation, and are following the safety protocols they have set across all ships. They can monitor and communicate through the system with regards to incidents and required actions and ensure there is an audit trail both for their own management and the requirements of maritime authorities.

Applications that are out of the box or customised for your fleet 

The QHSE safety management solution can be used in its standard formats or be tailored for your maritime fleet. There are two options. 

Could Fleet Manager (CFM) option

This contains applications which enable ship managers to rapidly create documents and tools, all based on industry best-practice: 

  • Inspection & Audits:  use a ready-made digital framework for internal audits and external inspections at sea or in port, like TMSA, ISM and OVMSA.
  • Inspection Report: inspections can be conveniently conducted using a standard mobile device. The person doing the inspection simply adds photos, videos, comments or voice notes to their digital report from their device. No more handwritten reports or the need to transfer the information into the system after the inspection. 
  • IHM: any ship which is 500 GT or over, regardless of flag, requires a valid and certified Inventory of Hazardous Materials (IHM) on board if calling at an EU port or anchorage. Our all-in-one solution means all potentially hazardous materials on board vessel are easily documented and their respective locations and quantity recorded.
  • Risk assessments: simplify and strengthen risk assessment procedures with a digital toolbox for keeping health, safety and environmental risk onboard vessels to a minimum.
  • Incidents: a comprehensive suite of documents to ensure maritime incidents can be recorded and tackled, such as MOC, loss, accident, near miss, non-conformity, corrective action, permits to work and safety meeting minutes.

Docmap option

This option allows fleet managers to customise functionality to integrate with their workflows and protocols. It includes the following modules. 

  • Documents: stores and manages policies, procedures, directives, work instructions and other QHSE documents. Ship Managers can share these to all vessels from this one place and customise all documents to match fleet protocols. 
  • E-forms: easily customised forms which can be accessed and filled in by crew onboard the ship as well as those onshore, ensuring consistent data. 
  • Incident & Actions: makes it simple to configure the maritime forms and reports such as those in the Incidents module in the CFM solution above.  
  • Risk Assessments: Ship managers  can ensure all of their risk protocols are included in the risk assessment documentation and meet their fleet’s standards.
  • Analytics: provides data insight across QHSE that aids decision-making, and can integrate with third party solutions like Microsoft Power BI.

The digital workflow means it is simple to automate information and data exchanged with the customer – making it more accessible and easier to analyse and manage for better decision-making.

The QHSE Docmap module has built-in automation which provides a clear overview of the areas on the vessel which need attention.
